Here is how Fortress records management works… Fortress will reconcile, transport and store all your hard copy business records at one or more of our most efficient and cost effective locations.  Your offices, departments and vital designated employees will be provided with the most advanced records management and internet-based interface called FortressWeb. 

FortressWeb will securely allow you to view any uploaded electronic information, add new information about the file, scan new pages from your office, apply retention to every file, produce standard or custom reports, view uploaded images, allow departmental or location billing and much more. 

Our optional premium software has the capability to manage word documents, pdf, tiff, excel and video that can be checked in and out while maintaining each changed version, all within the web portal. 

Your physical boxes or files… If the needed file is in a box at Fortress, instead of physically delivering a box, we will simply pull the specific documents requested.  The files are then imaged, indexed and uploaded to our FortressWeb servers.  This cost saving service is called Fortress Image on Demand.  Fortress is also a National Scanning Service Bureau that utilizes the fastest and best imaging equipment to meet your service demands.

Secure delivery takes place in under 3 hours for standard service and under 1 hour for rush requests. Physical files are either returned to their original storage location or securely destroyed after 30 days.  Destruction of any scanned file using Fortress Image on Demand is provided at no additional cost to our clients.

Your employees no longer need to search through boxes in order to find a file. Instead, you get what you’re looking for quickly and efficiently online through FortressWeb saving you, the client, time and money. If the original physical file is required, it will quickly be delivered to your office.

Proven security and savings… Files are not emailed to our clients using risky, unsecured networks. Fortress keeps three data copies in our datacenters in three different cities for redundancy.  We comply with PCI and HIPAA Security Standards.  Fortress has an Information Security Policy and a Disaster Recovery Program for your protection.  Best of all, you can receive the document in a fraction of the time anywhere in the world, usually at 75% cost savings compared to physical delivery.

New file or box additions… File or box additions to our inventory are easily managed.  Files can be quickly scanned or uploaded from any of your offices at no additional charge. Needed equipment or training can also be provided. Upon your request, any large amounts of files or boxes can simply and affordably be delivered to our closest record center for storage and Image on Demand services.
